Gala events can be costly for a nonprofit to pull off well. Here are creative ways to save on event costs while still making a strong impression. Several of these tips will give you immediate savings. Others will pay off on future events.

## Leverage your existing brand to save on design costs and decision time

Developing a new theme and visual system takes time and budget. Instead, build on what you already have. Your style guide is your friend here. Sticking to it keeps things consistent and avoids introducing new brand challenges and decisions down the road.

![The Mouse 20th Anniversary Gala logo, highlighting the theme of Powering Change was designed as a direct extension of the core brand styles.](https://mod-lab.transforms.svdcdn.com/production/article/nonprofit_mouse_gala_powerchange_art@2x.jpg?w=2600&q=80&auto=format&fit=crop&dm=1772812050&s=6c338a1dc28d0d4ee5e823b3afd4de1a) The Mouse 20th Anniversary Gala logo and brand was a direct extension of the core brand styles.

- **Let your brand colors inspire the event theme.** Use your existing colors in slightly different ways. If your primary color is red, pair it with a secondary color for a fresh feel while staying on-brand. Or try leading with a color from your palette that isn’t your typical primary. This can give an event or campaign a distinct look without sourcing new colors.
- **Tell a story.** Use photos and assets you already have to create a narrative around your mission.
- **Stick with your existing fonts.** No need to buy new licenses when your current type family will work.

## Create non-traditional table centerpieces

Floral arrangements are a common choice, but they’re expensive and not reusable. Think about something unique that reflects your brand and can be used again.

Here are some ideas to get you thinking:

- **Fill vessels with items related to your brand or theme.** If you’re a tennis and education organization, fill a large vase with tennis balls. Both the vase and the balls can be reused. A literacy nonprofit could fill clear vases with colorful bookmarks, pencils, or rolled pages of favorite quotes. An ocean conservation organization could use glass vessels filled with shells or sea glass.
- **Display picture frames.** Fill several frames with photos that showcase your organization’s impact. Arrange them at the center of the table to create a centerpiece. Frames of different sizes can help make things interesting. This is a creative way to keep your mission front and center.
- **Postcard display.** Like the picture frames, use picture clips or photo holders and create a collection of branded postcards for display. Each can include an icon or photo along with an impact story. Don’t forget to add a QR Code to your donation form!
- **Create an edible centerpiece.** Let the centerpiece double as a starter or dessert. A cupcake tree, for example, adds a practical and memorable touch.
- **Turn centerpieces into donations.** If you go with a floral or similar centerpiece that doesn’t have something for everyone at your table, offer them for sale or auction at the event. Include donate cards at each place setting so guests can bid.

## Rethink your printing options

Printing programs and signage can add up fast. Here are some ways to cut those costs:

- **Create signage you can reuse.** Design for your brand, not just one event. Welcome signs, directional signage, and photo backdrops can all feature your logo without event-specific dates. Invest in durable materials that can be used over multiple years. The upfront cost pays off over time.
- **Choose lightweight signage.** Lighter materials reduce shipping and travel costs. Fabric banners roll up easily and weigh less than rigid boards. Collapsible stands are easier to store and transport. Think about what you’ll need to move and how often.
- **Go digital.** A slideshow on a monitor or projector is cost-effective and eco-friendly. Use it to display sponsor logos, program highlights, or impact stories. You can update the content for future events without reprinting anything. QR codes that link to pages on your website or a PDF on tables can also replace printed programs.
- **Use the space itself.** Window clings can add your branding to glass surfaces without permanent changes. Gobos project your logo or patterns onto walls using light. Work with the venue’s existing features instead of covering them up. These options create atmosphere without extra setup or teardown.

## Plan ahead and document what works

Cost-saving choices require some lead time. Start early so you have room to explore options.

- **Gather your brand assets.** Collect your logo files, fonts, and color palette so your designer can work efficiently.
- **Talk to vendors early.** Printers, rental companies, and venues often have cost-effective options if you ask ahead of time.
- **Take notes after the event.** Track which choices paid off and which didn’t. This makes planning easier next year and helps you build on what works.

## Something to Try

If you’re planning your next gala or event, here are some things to get you started.

- **Review what you already have.** Gather your brand assets, photos, and any reusable materials from past events.
- **Identify what can be repurposed.** Look at signage, centerpieces, or digital assets that could work again with little to no updates.
- **Start conversations early.** Talk to your designer or printer about cost-effective options before decisions are locked in.
- **Document what works.** After your event, note which cost-saving choices paid off so you can build on them next year.
- **Keep your event page alive.** Do you have an event page on your website for your gala? It can become a valuable resource after the event. Update it with photos and highlights to [showcase your track record and build credibility for future events](https://mod-lab.com/insights/event-lifecycle-website-content). Use your event pages to tell a story and continue to fundraise around even after it is over.

## The bottom line

Great event design is about being resourceful with what you already have. When you extend your brand thoughtfully and make smart choices about materials and signage, you can create a beautiful event without overspending.
