Cost saving ideas for your next gala event
Gala events can be costly for a nonprofit to pull off well. Here are creative ways to save on event costs while still making a strong impression. Several of these tips will give you immediate savings. Others will pay off on future events.
Leverage your existing brand to save on design costs and decision time
Developing a new theme and visual system takes time and budget. Instead, build on what you already have. Your style guide is your friend here. Sticking to it keeps things consistent and avoids introducing new brand challenges and decisions down the road.

- Let your brand colors inspire the event theme. Use your existing colors in slightly different ways. If your primary color is red, pair it with a secondary color for a fresh feel while staying on-brand. Or try leading with a color from your palette that isn't your typical primary. This can give an event or campaign a distinct look without sourcing new colors.
- Tell a story. Use photos and assets you already have to create a narrative around your mission.
- Stick with your existing fonts. No need to buy new licenses when your current type family will work.
Create non-traditional table centerpieces
Floral arrangements are a common choice, but they're expensive and not reusable. Think about something unique that reflects your brand and can be used again.
Handmade LED flower centerpieces and light designs created a beautiful presentation that was so on brand for Mouse's 20th anniversary gala.
Here are some ideas to get you thinking:
- Fill vessels with items related to your brand or theme. If you're a tennis and education organization, fill a large vase with tennis balls. Both the vase and the balls can be reused. A literacy nonprofit could fill clear vases with colorful bookmarks, pencils, or rolled pages of favorite quotes. An ocean conservation organization could use glass vessels filled with shells or sea glass.
- Display picture frames. Fill several frames with photos that showcase your organization's impact. Arrange them at the center of the table to create a centerpiece. Frames of different sizes can help make things interesting. This is a creative way to keep your mission front and center.
- Postcard display. Like the picture frames, use picture clips or photo holders and create a collection of branded postcards for display. Each can include an icon or photo along with an impact story. Don’t forget to add a QR Code to your donation form!
- Create an edible centerpiece. Let the centerpiece double as a starter or dessert. A cupcake tree, for example, adds a practical and memorable touch.
